View Full Version : How do you keep stock?

So it hit me today that my current process of keeping "inventory" (funny word for my little collection) isn't going to work much longer. I usually keep my little black book with my cigar jars and keep track of when my orders show up to keep date/quantities in check. Had a Quesada Tributo come with last months order and 2 sixers of the same show up today and it started me thinking that I need a better way to keep things organized as my inventory continues to grow. How do you keep inventory? How do you keep multiples from different orders in check? Sharpie marker to the cello of each with the date?

I used to keep a spreadsheet going. but then I started buying more stuff that I could keep track of. so I eventually gave up trying to keep it all straight. now if I see a deal I can't pass up I just buy it and not worry about it

I have a spread sheet and like others it was hard to keep up with. Now I just use the sheet to keep track of what I bought or was given, price and whether I would buy them again.

I should have created an excel spreadsheet but it got out of control before I got around to transferring it to excel...So I have a couple of word documents that is my entire inventory. Each line has the name, size and how/when I got it. Example: "Liga Privada No. 9 Robusto Oscuro – 5/52 – $8.50(titlowda, 06.10.2011)" One line = one cigar, so if I buy a bundle of 10, there are 10 identical lines.
I have a couple of different documents; one has everything ever including if it was gifted, sold or smoked by putting a symbol before the line such as an "*" or a "@"
A second document has only what is left in stock.

I don't bother. Every 3-4 months I physically go through everything, organize, rotate a little and look for any potential problems. Thankfully none found so far. Also gives me a chance to take a little mental inventory. I have about 300 cigars.

Sure did, pretty much the only place I buy from. Haven't tried them but going off some recommendations, a dozen sticks for $34, I'll give them a go.

Started out with the best of intentions to & getting all kinds of advice. Thanks to the words of wisdom from BOTL's that advised it can get out of hand, become a pain in the ass, and detract from the joy of the hobby, I quit. Same as Old Smokey....every 3 mos or so, rotate, examine, note, and add to or edit original list. Finding something you forgot you had, can be pretty killer on a rainy Saturday afternoon.

I have a spread sheet set up since January. Took a little work inputting so many different sticks but has since been real easy to keep up to date since I'm on the computer every day anyway. I'm glad I got it going as I no longer have to look through four humidors plus now a cardboard box to figure out what I own, or decide on what to smoke.

I use an app that has my inventory. You can edit it online or on your smart phone. You can even share your virtual humidor with people if you would like to. I have done this with some trades. Pretty handy. I have everything but maybe 15-20 in my inventory. It also allows you to keep track of age and allows you to rate each stick. Massive database as well.

I used to use free software called CigarBriefcase. You can find it here. http://www.vaagan.com/cigarbriefcase/ (http://www.vaagan.com/cigarbriefcase/)
After a while the collection got so large that I didn't bother anymore.

I use Google sheets. I created a spreadhseet that has several columns such as name, vitola, quantity, quantity left, country, box date, date in humi, etc.
I used to use paper, but this is better. It was a HUGE PITA converting it from paper to Google Sheets. However, know I just enter data in a few fields and I'm good.
Cigar Geek's has a mobile app that syncs with the web page, easy to input. Handy to have the app, whenever I make a B&M haul or get an order, just update and I'm good to go

At one point I actually did an inventory and loaded it into a spreadsheet on Google Docs. I was around 700 total and it was a couple hundred rows with all the different makes and models. I did really good for a while keeping it up to date, and I even wrote an android app that I was going to switch over to. Then summer bbq season came and I started to lose track of it as I'd bring a bunch out and forget what me and others smoked. I came to the conclusion that I really don't effing care what I have. I know I have too many, that I'll continue to aquire them, and it's kind of fun forgetting what is in the fridge.

I keep a spreadsheet. It really comes in handy. I keep track of my entire inventory (which isn't much - under 150 cigars in 3 humidors) plus my brief ratings and observations of all the ones I've smoked. Happy to share - PM me if interested.

CigarGeeks with the phone app. Pretty easy and painless if I just remember to mark them when I smoke.

Thanks for all the input. I'm not usually much of an "organized" guy but for some reason feel the need to keep track. Might be a good idea to transfer my list to a spread sheet.

I have a spread sheet and only keep full box purchase inventory on it. Box splits, singles, bombs and stuff, I don't keep on the log. When a box gets down to 5 I pull it off the sheet. Too much of a pain to keep track of everything.

If I want to see what I have I open the door to my humi and look. Sometimes I find a nice surprise. Just the other day I found a box of dirty rats I didn't know I had. Yay me. But then I looked for something I was wanting to smoke and realized I had smoked it :-(. So it's a roller coaster of emotions at my humi but that is how I roll. Hardcore till the end.

I have a spreadsheet where I can track quantity, purchase price, whether I would re-purchase and date of purchase or manufacture date. I have it calculate the age of the sticks for me so when I smoke something I can track if it's improving or declining. Maybe a little over the top, but it gives me something to do.

I don't keep track of what I have, but I do put a label on each with the date I put them in my humi and where I got them. I use a cheap label maker set on the smallest font - works pretty good except for the cello-less, then I have to cut them down and put them on the back of the band. I like to know how old they are, especially when I buy duplicates.

Very nice. I wish I had that problem.

Finally a good use for the wife's label maker. I like that idea since that's the main reason I'd like to keep track, for repeat orders. Years of working retail has first in first out ingrained into my brain.

Google docs... But I gave up on it as I lost interest. There are good smokes and bad ones. At the end of the day, I'm still smoking something and I have inventory.

I use a spread sheet with marca, vitola, date purchased/box date, and quantity. However, I am not smart enough to label my individual cigars when they come in, so I am having trouble knowing which individual stick came in when.
I think I am going to only continue with boxes moving forward, or maybe stop altogether.

I have two small coolidors I use to "rest" cigars. Mostly I just buy cigars once a year, right after the Holidays when everyone is broke and money is tight, and I can get decent prices on the bid sites.
I put the years purchases in one of the small coolidors, and there they sit, untouched for two years. The next year's cigars go in the second coolidor. On the following year, the first coolidor is emptied of it's two-year-rested cigars, and is filled with this year's purchases. These two small coolidors rotate ad nauseam.
So, my humidors, and large coolidors are filled with cigars a minimum of two years old, and this is my smoking stock.
I keep no records at all, and can't imagine wanting to keep paperwork for a supposedly relaxing hobby. I do have a very good memory, and can remember most of my purchases, though.
Started with Excel, but I transferred the data to Google docs. I don't keep inventory. Instead, I just record when I get the cigars. I usually buy by the bundle or box now so it's not too difficult to keep track. For Opus and Anejos that I buy couple per year, I put dated sticker on them. They're basically blank stickers you buy at Office Depot or somewhere and I just ink the dates on them. Very easy to keep track that way!

As the sticks come in I date each on the cello. Enter them on google doc. Place them in the freezer for 2 days, then into the humi by date received (just happen to have 6 of them). I burn something out of the oldest (enjoying 2012's now) first and remove it from the inventory. EZ-PZ

I use an excel file where I keep track of sticks by humidor. I don't track age of them though.
I used to be very organized and systematic in how I kept track of my inventory but then it became a pain in the a@@. Now, I just make sure to tag each cigar with a date (either by writing the date on the cello) or putting a little sticker with the date on the label (that can easily be removed). The only thing I definitely like to know when I smoke a cigar is the age. Other than that, I try to make it as easy of a process as possible.

For those who use cigar geeks, is it good? I read some of the comments on it and I down want to just waste $4 if it is glitchy.
I just downloaded the cigar boss app and it has a virtual humidor. I am going to see how well I keep up with this one first.

I have used this as well. I found it to be well rounded and easy to add a cigar to if it was not already in their massive inventory of cigars.
Cigar Geeks is def worth the $4 IMO. Use cigar boss for a while. If you find yourself committed to keeping track of inventory, upgrade to cigar geeks. If you find out in a few weeks it's a pain in the ass to update everytime you smoke/buy a cigar, you will be thankful you didn't waste $4

i use little stickers and mark the date i got it and if it was in a pif or trade i mark it as pif or trade as well. after marking it i put it in the humidor and forget about it. im a firm beliver in KISS. i only use stickers because i can see the date better than writing it on the celo with sharpie
